Affiliated Offices
The Office of the Board of Trustees is the administrative office that supports the Board of Trustees in its day-to-day work and is affiliated with the Office of Administration. It organizes Board meetings, prepares meeting minutes, follows up on the implementation of resolutions, and manages liaison and relationship-building with trustees, among other duties. Its specific responsibilities are as follows:
1. Organizes and coordinates meetings and major activities of the Board of Trustees and its special committees.
2. Drafts, processes, and manages documents of the Board of Trustees and its special committees.
3. Develops and refines rules and policies relating to the Board of Trustees and leads coordination of revisions to the Articles of Association of the Board of Trustees.
4. Prepares Board meeting records and minutes; guides the preparation of records and minutes for meetings of the Board’s special committees; supports the implementation of resolutions; promptly communicates key decisions and resolutions of the Board to the Presidential Executive Council; and tracks implementation, consolidates feedback, and reports on follow-up actions.
5. Maintains regular liaison and relationships with trustees and assists with information exchange with the Board of Supervisors.
6. As authorized by the President, coordinates University units in supporting the Board of Trustees and its committees in carrying out work within their respective mandates.
7. Assists the EIT Education Foundation with liaison and communication involving donor trustees and honorary trustees, as well as fundraising and donor development.
8. Undertakes other tasks assigned by the University.
The Hong Kong Office is the University’s administrative unit responsible for Hong Kong affairs and is affiliated with the Office of Administration. It coordinates and plans the University’s Hong Kong-related work, manages related administrative matters and liaison and reception, and supports the development of the University’s initiatives and partnerships in Hong Kong. Its specific responsibilities are as follows:
1. Establishes education foundations, research institutes, and other entities in Hong Kong and manages their local operations, legal and compliance matters, and administrative affairs.
2. Serves as a liaison between Ningbo and Hong Kong, organizing and supporting university-level exchanges and cooperation and coordinating the reception of major visitors.
3. Promotes the EIT brand and develops networks and resources in Hong Kong, helping strengthen the University’s international profile and visibility.
4. Supports talent recruitment, including the recruitment of high-caliber professionals from outside the Chinese mainland.
5. Supports and coordinates the management and implementation of University projects in Hong Kong, including timely support for students based in Hong Kong and coordination of emergency response.
6. Assists with overseas fundraising and the administration of donated funds and funded projects.
7. Undertakes other tasks assigned by the University.
The Office of the Provost is a central administrative office responsible for coordinating academic administration, discipline development, talent cultivation, and teaching quality assurance. Affiliated with the Office of Administration, it coordinates units within the Provost’s portfolio, organizes coordination meetings chaired by the Provost, and follows through on related decisions. Its specific responsibilities are as follows:
1. Assists the Provost with recruitment, tenure, reappointment, promotion, and related administrative services for faculty and staff in the teaching-and-research, teaching, research, and teaching/laboratory support tracks; develops relevant policies and procedures; coordinates implementation; and conducts monitoring and review.
2. Organizes meetings of the University Academic Committee and follows through on related decisions; liaises with academic divisions and the Office of Human Resources (Office of Faculty Affairs); coordinates cases before committee review; and tracks follow-up actions after committee decisions.
3. Oversees the administration of the subcommittees and special committees of the University Academic Committee.
4. Organizes coordination meetings chaired by the Provost and follows through on the decisions made at those meetings.
5. Coordinates units within the Provost’s portfolio; supports, carries out, and follows up on special initiatives and events; and coordinates cross-functional initiatives led by the Provost.
6. Liaises with units within the Provost’s portfolio and coordinates the collection, organization, and submission of relevant information.
7. Undertakes other tasks assigned by the University.
